Ordering Stock Items

Stock Availability

There are different indicators for stock avaliablitiy depending upon your Wholesaler and the number of items they have in stock. Here are a few of the symbols you may see in the Qty column:

Numbers Number values listed in the Qty field show the number of those stock items avaliable to order.
Yellow Tick This symbol is shown instead of an actual quantity and indicates that the stock item can be ordered through the Virtual Warehouse.
Telephone This symbol indicates you must call your Wholesaler to receive quantity & price information and to order this item.

Different Ordering Methods

Depending upon your Wholesaler you will order stock from The Virtual Warehouse in one of three ways, either Standard, Quick or Multiline. More information about each of these options can be found below.

You can change your default ordering method at any time in the Setup page; please see Using the Setup Screen for more information.

Standard

To order an item simply click on the Order option next to the required part,

Select Order Next to the Stock Item you want

When you have clicked on Order you will notice that the screen moves to the Pending page.

Update stock quantity and select the button Update Order

Here you have the option to change the quantity of stock items you wish to order by editing the value in the Quantity field.

When you are happy with your order select the button Update Order

The following screen is displayed:

You are now able to return to the Find page and add more items to your order, or if you are ready to send your order to the Wholesaler select Create Order.

The Create Order Page

In the following screen there are a number of optional fields that you can enter for your own and the Wholesalers reference; these options are explained below:

Complete Order Page

Quotation Only This field should be completed only if you are sending the order to confirm whether the Wholesaler currently has stock, by using this field no order will be raised.
Ref This is your own reference number, this information will be sent to the Wholesaler. If the same Ref is added to different orders some Wholesalers will group all of these orders onto the same Invoice; please contact your Wholesaler to find out if they offer this service.
Your Order Description (This is Not Sent To Supplier) Any details entered into this box will not be sent to the Supplier but will be available for you to see when looking back at the order e.g. Customer Name, Account Number etc.
Comments For Supplier This option is for comments that you wish to make to the Wholesaler e.g. delivery requests.
Show on Invoice Tick this box if you would like these comments to appear on the invoice sent by the Wholesaler

Once you have filled out this form select the Send Now button and your order will be sent to the Wholesaler; the following screen will be displayed when the order has been confirmed:

Click View to see the order details, for example the Supplier Reference.

You may see symbols in the Status field other than the Green Tick to show the order has been successful.  Please see Order Status for more information.

All orders that are placed each day can be viewed on the Today screen; at the end of each day all orders in the Today screen will automatically transfer to the Archive screen. For more information on how to find orders in the Archive screen please see the section Using the Archive Screen.

Quick Order

When you use the quick order system you will notice an additional field next to the search fields on the Find Page called Qty

To order stock items enter the number you require in this box and select the Order link next to the item you wish to buy.  Click Here for details of how to complete your order.

Multiline

When using the Multiline style of ordering you will notice some significant differences to the way the Find page looks.  As you can see in the image below, the Pending page has been replaced by Cart and the Order link has been replaced by Add.

There are also two columns we have not covered before:

Cart This column identifies how many of a particular stock item you have already added to your Shopping Cart; these items are waiting to be ordered.
Ord Qty Enter the number of items you wish to order in this entry box.

To order items using the Multiline system enter the required quantity into the Ord Qty box and select Add; you will see that the Cart column updates to show the quantity you have ordered.

You may continue to search for and add more items to your Cart.

When you are ready to order your selected items open the Cart page where all of the items you wish to order are listed.

You can change the quantity here by selecting the Edit link; you can delete an item from the list by changing the quantity to Zero.

When you are ready to order all of your selected items select the Create Order button.

Order Status

Once you have completed an order and requested to send it to the Wholesaler you may notice a number of different symbols being used in the Status field; these symbols are explained below.

Egg Timer This indicates the order is still being sent to the Wholesaler
Green Tick This symbol shows the order has been successfully received by the wholesaler
Red Cross This indicates there has been some problem with your order and that it has not been placed.  You should contact your wholesaler directly, to place this order.

Multi-Warehouse Ordering

Customers that have access to stock from more than one of their wholesalers premises may have one location set as the default in Setup.

When the customer attempts to order stock from a location other than their default warehouse the following message appears:

This is not your default warehouse.  Delivery times may take longer.  Do you want to continue?

This is a warning message only and will not prevent the customer from ordering stock from the alternative location.
